About You

We are looking for a proactive and efficient Operations Specialist. The ideal candidate will be adept at managing multiple tasks, have excellent communication skills, and a strong commitment to organizational success.

Essential Functions

  • Policy Implementation: Implementing and enforcing office policies and procedures, ensuring compliance with regulations, and maintaining records.
  • Document Management: Handling paperwork, preparing reports, and maintaining records, ensuring accuracy and compliance with company policies.
  • Communication Coordination: Facilitating internal and external communication, ensuring smooth information flow. This includes liaising with stakeholders such as clients, partners, and service providers (e.g., banks, government offices, BUDOTEK management office).
  • Administrative Support: Providing administrative support to the management team, including managing schedules, organizing meetings, handling correspondence, and performing other administrative tasks as needed.
  • Project Coordination: Assisting in various projects, coordinating deadlines, and supporting different teams or departments as needed.
  • Facilities Coordination: Executing office maintenance to ensure a clean and efficient workspace. This includes coordinating office supply inventory, liaising with vendors and service providers, and contributing to the overall functionality of the office environment.
  • Event Coordination: Helping organize office events and meetings, including conference and booth planning and preparation, contributing to a positive work culture, and ensuring a strong presence at industry events.
  • Procurement: Responsible for the purchase of office essentials such as computer equipment and furniture, ensuring the best quality at cost-effective prices.
  • Technology Assistance: Assisting in managing office technology, ensuring that equipment is maintained and updated.
  • Employee Support: Providing human support to other employees, including engaging in conversations to understand their work-related or personal challenges, identifying any conflicts, and fostering a supportive work environment.

Required Qualifications

  • Bachelor’s degree in a relevant field.
  • Strong written and oral communication skills in English.
  • At least 2 years of experience in an administrative role.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong leadership and interpersonal skills.

Preferred Qualifications

  • Experience in a healthcare or consulting environment.
  • Familiarity with project management tools.
  • Experience in design apps such as Adobe Photoshop, Illustrator or similar.

Location

Bogazici University Teknopark (BUDOTEK), Umraniye, Istanbul.
